Difference between the link and duplicate functionality

CTR 2.0 offers the ability to have a single integrated recipient record. This allows improved patient management as all a recipient’s data can be managed within a single integrated record.

While, CTR 2.0 offers the integrated recipient record it is important to note that not all provincial partners are ready to integrate KPD and HSP data. To avoid data entry conflicts, linking is available to associate a recipient’s KPD and DWL record. KPD users can link the KPD recipient to the DWL/HSP record for reference. KPD users may not have access to the DWL record as the data for this record is created and updated thru web services.

Please note that there are very distinct uses in CTR for duplicates and links. See the table below for details:

 

Duplication Linking
When is Duplication Applicable –

  1. A record is created in error.
  2. When the patient is participating in KPD and HSP and there are 2 records for the same patient. The program ready to integrate this recipient into 1 single record will identify a prime record and mark the other as a duplicate.
When is Linking a record applicable –
When there are 2 records for the same recipient participating in KPD and HSP where the records must remain separate and Active. The KPD coordinator can link the 2 records to allow easy reference.For provinces who utilize web services for DWL /HSP data and whom are not sending KPD patient data (Namely, QC, ON and BC). To avoid data conflicts, linking is the option to use to associate the KPD and DWL record.Provinces moving to the Single Recipient Record also have the ability to access Linking.
How do I mark a Record as a Duplicate –
The record can be marked a Duplicate as follows –

  • Identifies the ‘prime’ record
  • Move any necessary data from the duplicate to the prime record
  • Select the duplicate record’s registration activation tab to ensure the organ request(s) are set to ‘Off list ‘or ‘Transplanted’
  • On the Personal tab of the same record, set the duplicate = Yes –
  • Input the Master Record ID which is the ‘Prime ‘record’s National Patient ID number and Save
How do I link a record –
The Two records can be linked as follows –

  • Select the patient record for Linking
  • On the Personal tab, in the principal Ids section, select the ‘Add’ button on the Linked record field
  • The Linked Record Dialogue will present itself with the Search field to search/add the national patient ID for the record to be linked to
  • Once the record to be linked is identified, select the update button
  • On the Personal Tab, the Linked Record is displayed with the ability to add multiple records for linking or deleting
When a Record is marked as a Duplicate – Updates are made to the identified ‘prime’ When a record is linked, both linked records must be maintained for updates
